What this notice covers

This notice explains what we do with personal information about people who visit this website, make an enquiry, book a consultation, or receive care from us. If you become a patient, we will give you further, more detailed information about how we handle your clinical records as part of your treatment paperwork.

Information we collect

  • Information you give us. Your name, email address, telephone number, and anything you choose to tell us when you make an enquiry or book a consultation.
  • Information about your health. If you become a patient, this includes your medical history, test results, treatment records, and information about your partner or a donor where that is relevant to your care.
  • Information collected automatically. Your IP address, device and browser type, the pages you visit, and how you arrived at our site. This is covered in more detail in our Cookie Policy.

Information about your health

Information about your health is "special category" data under the UK GDPR and receives stronger protection in law. We process it for the provision of health care under Article 9(2)(h) of the UK GDPR, supported by Schedule 1, Part 1 of the Data Protection Act 2018.

We do not use health information for marketing, and we do not send information about your health, your treatment or your appointments to advertising platforms.

Why we use your information, and our lawful basis

  • To answer your enquiry and arrange a consultation — because it is in our legitimate interests to respond to you, and because it is a step towards a contract with you.
  • To provide fertility treatment and clinical care — because it is necessary for the provision of health care.
  • To meet our legal and regulatory obligations, including our reporting duties to the Human Fertilisation and Embryology Authority (HFEA) and the Care Quality Commission (CQC) — because we are under a legal obligation.
  • To send you marketing about our services, where you have asked us to — with your consent, which you can withdraw at any time.
  • To understand how our website is used — with your consent, given through our cookie banner.
  • To keep business records, handle complaints and protect our legal position — because it is in our legitimate interests.

Who we share it with

We use the following providers, who process information on our behalf under written contract:

  • Kompas Biomed — our clinic management system, which holds patient and treatment records
  • Microsoft — email, calendars and document storage (Microsoft 365)
  • HighLevel — enquiry, booking and contact management
  • Webflow — website hosting
  • Usercentrics (Cookiebot) — cookie consent management
  • Sinch (Mailgun) — sending email on our behalf
  • Google — website analytics, only where you have consented
  • Meta — advertising measurement, only where you have consented

Where your treatment requires it, information is also shared with organisations that provide part of your care directly. These include the pharmacy that dispenses your medication, a donor gamete bank where donor eggs or sperm are used, the specialist courier that transports frozen gametes or embryos, and the laboratories that carry out your tests. Some of these organisations bill you directly and are responsible for your information in their own right, not as our processor.

We are also required by law to provide certain information about licensed treatment to the HFEA, which maintains a statutory register. We may share information with other clinicians involved in your care, with our regulators, and with insurers or legal advisers where we are required or permitted to do so.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Analytics and advertising

We use Google Analytics and a Meta advertising pixel. Neither loads unless you accept the relevant cookies. They receive information about your visit — which pages you viewed, and whether you clicked a booking button or completed a booking. They do not receive your name, email address, telephone number, or any information about your health, and we have disabled Meta's automatic advanced matching. If you decline cookies, neither is loaded at all.

Sending information outside the UK

Some of our providers are based in, or store information in, countries outside the UK. Where your information is transferred outside the UK, we rely on the safeguards permitted under UK data protection law: the UK International Data Transfer Addendum to the European Commission's Standard Contractual Clauses, or, where the provider is certified under it, the UK Extension to the EU-US Data Privacy Framework.

The safeguard that applies is recorded in our written contract with each provider. If you would like to know which safeguard applies to a particular provider, or where a particular provider stores your information, ask us at privacy@veyafertility.com and we will tell you.

How long we keep your information

  • Enquiries that do not lead to treatment — 24 months.
  • Patient and treatment records — records relating to licensed fertility treatment are kept for the periods required by the Human Fertilisation and Embryology Act and our HFEA licence conditions, which are considerably longer than for ordinary medical records. Other clinical records are kept in line with the NHS Records Management Code of Practice. You can ask us for the specific retention period that applies to your own records and we will tell you.
  • Marketing contacts — until you unsubscribe, and then 24 months as a record that you asked us to stop.
  • Complaints records — held separately from clinical records for 10 years.
  • Website analytics — 14 months.

Your rights

You have the right to ask us to:

  • give you a copy of the information we hold about you
  • correct information that is wrong or incomplete
  • delete information we no longer have a reason to keep
  • restrict how we use your information, or object to us using it
  • transfer certain information to another organisation
  • stop sending you marketing, at any time

Where we rely on your consent, you can withdraw it at any time. To exercise any of these rights, contact privacy@veyafertility.com. We will respond within one month.

Some rights are limited. In particular, we cannot delete records that we are required by law to keep, including records we must hold under the Human Fertilisation and Embryology Act.

If you are unhappy with how we handle your information

Please tell us first, at privacy@veyafertility.com — we would rather hear from you and put it right. You also have the right to complain to the Information Commissioner's Office at any time, at ico.org.uk or on 0303 123 1113.

Children

This website is intended for adults and we do not knowingly collect information from children through it. Where a young person is receiving treatment, or where fertility preservation is being considered for a young person, we handle their information with the additional care that requires.

Changes to this notice

We update this notice when our practices change. The date at the top shows when it was last revised. If we make a significant change we will make that clear on this page.
